Checking dimensions on a supplier sample

A photograph cannot establish a close tolerance. Identify the dimensions that affect fit, function, assembly, or safety, then measure the sample against the correct drawing revision.

Prepare the measurement

List nominal value, tolerance, unit, measuring point, instrument, and environmental or setup condition where relevant. Check the instrument is suitable and its calibration status meets your process. If a soft or flexible item can be measured in several ways, agree on the method first. Record actual values, not only a pass mark.

Decide from the evidence

Compare each result with its stated limit and retain the raw record. Where a result is borderline, repeat under the agreed method and document why. A sample can pass dimensions while failing function, so do not let one table become the whole acceptance decision. Send the supplier the exact failed feature and measurement method for any correction.

Worked measurement line

For a hypothetical shaft, drawing D-5 requires 10.00 ± 0.10 mm at a named point. Measure with the agreed instrument and enter “10.08 mm, point A, caliper ID 14, room temperature” in the sample review tool notes. Mark dimensions “Conforms” only if that result and the remaining required points pass. Common error: recording “10 mm okay” without the actual value, point, or tool. If 10.12 mm is observed, log a deviation and request a revised sample.
