A label and artwork acceptance checklist for supplier samples

A small label error can block a product even when its physical performance is sound. Use the final approved artwork and data file as the reference, and inspect the printed sample at its intended size.

Check content and execution

Compare product name, model, batch field, barcode data, country-of-origin wording if required, warnings, symbols, and language against the buyer-approved source. Verify position, orientation, print quality, durability requirement, and scannability where relevant. Market-specific legal requirements need specialist review; a supplier's generic assurance is not enough.

Freeze the approved version

Record artwork revision, print proof ID, sample photos, and the person who signed off. Distinguish a text correction from a cosmetic change because both can affect plates and lead time. If the supplier proposes an alternate label material, request evidence that it suits the intended handling and environment. Carry the final revision into the purchase order and production inspection plan.

Worked artwork check

The approved label artwork is R-3, but sample L-5 prints R-2. Enter L-5 and the product version in the sample review tool; mark packaging and labels “Deviation” and note the mismatched text and print-proof IDs. Ask for a corrected proof and a printed sample under R-3. Common error: accepting the product's physical quality while overlooking an obsolete warning or barcode. Let a qualified reviewer check any market-specific label requirement before signoff.
