Reviewing supplier sample packaging for transit

A perfect product can arrive unusable if the approved packaging fails. Treat the retail unit, inner pack, and master carton as separate acceptance items. Compare them with the agreed packaging revision.

Inspect the packed sample

Record units per pack, carton dimensions and weight, cushioning, closures, moisture protection where required, and label placement. Check that barcodes, handling marks, and destination information match approved artwork and data. If a drop or vibration test is specified, document the method and product condition afterward; a casual drop in an office is not an equivalent test.

Decide what changes

Note damage, movement, scuffing, or unreadable labels with photos and sample ID. If a carton is changed to reduce cost, repeat any affected transport assessment. Confirm whether production will use the same materials and pack quantities. An accepted product sample does not automatically approve its shipping configuration.

Worked pack review

Product P-2 passes function, but its 12-unit carton arrives with crushed corners. In the sample review tool, keep function “Conforms” and mark packaging “Deviation”; note carton revision, damage photos, and the agreed transit-test result. Ask for revised cushioning and a new packed sample. Common error: approving the whole sample because the product still operates, leaving production free to use the damaged carton design. Check the revised pack's weight and dimensions before confirming freight.
